Responsible for providing administrative support to the executive in a professional and timely manner.

Job Description

Medical Insurance

  • Managing employee medical insurance enrollment, renewals, and cancellations
  • Processing claims and coordinating with the insurance provider
  • Handling insurance premium payments and ensuring compliance with company policies

Travel Insurance

  • Arranging travel insurance for employees traveling for business
  • Ensuring timely processing of insurance policies as per company requirements

Fleet Management

  • Managing company-owned vehicles, including new purchases, renewals, repairs, and services
  • Overseeing fuel cards, corporate cards, and Salik for staff

Support Staff Management

  • Supervising and maintaining the roster of Mall / office support staff
  • Ensuring efficient allocation of office boys, drivers, and other support personnel

Company Assets

  • Handling procurement, distribution, and maintenance of office assets such as Sim, Corporate cards, Uniform Watches, furniture and IT equipment
  • Maintaining records of company-owned assets

Emergency Passport Releases / Audit

  • Administering the process for urgent passport releases when required
  • Quarterly Passport Audit

Monthly Reports/Payments

  • Preparing and processing monthly payments for Fuel, Salik, transport, food allowances, and other reimbursements
  • Ensuring timely submission of financial reports to relevant departments

Uniform/Accessories

  • Budgeting, ordering, and replenishing uniforms and accessories for staff
  • Negotiating rates with vendors for stitching, material, and accessories supply
  • Issuing LPO’s for uniforms to retail and support staff towards annual/midterm issuances

Annual Air Ticket & Joining Ticket

  • Processing annual air ticket reimbursements and new joiners air ticket reimbursements

Induction for New Joiners

  • Coordinating administrative tasks for onboarding new employees, including hotel bookings and transports processing

GOSI (General Organization for Social Insurance)

  • Preparing monthly GOSI payout statement based on Invoices raised by the authority

ADHOC

  • Managing miscellaneous administrative tasks as required

 

profile

  • Bachelor’s degree with specialization in HR or a similar field
  • Minimum of 2 years’ experience in a similar role
  • Excellent communication and presentation skills
  • Excellent proficiency in Microsoft Excel, Macros, PowerBi
  • Strong organizational and time management abilities
  • Ability to work under pressure and meet deadlines
